TERMS AND CONDITIONS

A        Liability:   The YMCA is not liable to the hirer or any other party for loss or damages or other matters occurring during, or as a result of the hirer’s use of the facility.  The hirer must indemnify on demand to the YMCA against each cost, less the expense sustained or incurred by it as a result of the hirer’s use of the facility.  This clause (A) applies to clauses B, C, D, E, F, G, H, I & all smoke machines of any sort are phohibited

        Entry:  If the doors are left open for the rest of the party to come in, the hirer will monitor and prevent outsiders from entering. The hirer is responsible for any theft or damage to property, equipment & the building caused by any uninvited person.

C         Exit Doors: The front exit doors are not to be opened by any party other than the hirer.  This must be closed on or before the departure from the facility. All doors, including fire exits are to be checked to ensure they are locked before leaving the building.

D         Equipment and Property:    All equipment and rooms hired must be left the way they were found. Any theft or damage to the building or any of the equipment during the hire period or if access was gained by another person(s) through the fault of the hirer, the damage will be at cost to the hirer. Any theft or damage to the building or any of the equipment during the hire period caused by the hirer or a member of the hirer’s party will be at cost to the hirer.

E         Food and Drink:    Food and drink may be consumed in the conference room or on the viewing platform, but it is the responsibility of the hirer to clean. No food or drinks other than water are allowed on the gym floor. Alcohol, Illegal Substances and tobacco products are strictly prohibited. A fine of $250 will be imposed on hirers who do not comply or allow others to bring in and consume prohibited substances. All other areas in the facility are restricted to YMCA Staff only except if stated otherwise in this contract. Parking is available in the parks marked.  These are provided for the hirers use but are not guaranteed.  There is no parking on the driveway south side of the building.  This will allow access to the site by emergency services.

F         First Aid:    The hirer is responsible for any first aid requirements for themselves and members of the hirer’s party. The hirer is responsible to ensure the safety of all its members. The hirer must comply with all Health & Safety Regulations (especially adequate supervision of members under 18 years old). The hirer must ensure they and their party use all equipment for the sole purpose it was intended.

G          Leaving the complex:    

It is the hirer’s responsibility to ensure all lights and heaters are turned off before exiting the building including the bathrooms. It is the hirer’s responsibility to ensure that all doors, including all fire exits, kitchen/storage doors and windows and the front interior and exterior doors are securely locked before exiting the building. That all electrical appliances are turned off at the wall and that the facility is left in a clean and tidy condition and all rubbish is removed.  Should the YMCA see fit to employ the services of a cleaning contractor to return the facility to an acceptable state all costs associated with this service will be met by the hirer. The hirer is to provide cleaning products and equipment. The hirer is to remove all rubbish and recycling from the premises including cleaning car park of all cigarette butts, broken glass. A fee will incur to the hirer for the incompletion to remove their rubbish.

H            Booking changes: The YMCA reserves the right to change any bookings at any time due to unforeseen circumstances.  A minimum of 48 hours notice will be given. The hirer must give 7 days notice to make changes to a booking. I.e. days not coming in.

I              Booking details: Upon pick up of Key full payment is to be made 7 days prior to booking.The hirer has use of the area allocated to them and only that area. The hirer will use only the rooms agreed to under this contract listed above. Using other rooms without notifying the Manager first will result in extra charges being applied of $50 incl. GST per hour per additional area used.

J              HIREAGE FEE: Upon payment of the hireage fee ranges from of $30.00 per hour keys will be collected from reception at YMCA to collect the day prior to your function.  Office hours vary from day to day so please contact centre manager.  Please be advised NO GLASSWARE to be allowed in car park during the function.  Anyone drinking outside the YMCA would be in breach of public drinking laws.  

K             CLEANING AND RETURN OF FACILITY: We have a strict no cello tape on the walls policy, we are happy for user groups to use PVC duct tape as long as it is removed at the end of hire. Cleaning is to be done by the hirer including carpet cleaning, glass windows, smoke butts, rubbish & glass left in car park area , vacuum and mopping facilities are provided and product to be supplied by hirer

BOOKING Declaration

By making a booking you confirm that:

  • I am over 18 years of age.
  • I understand that if I am under 18 years of age I am unable to hire the premises. Failure to disclose my true age to the YMCA Masterton will still result in me being responsible for all fees, charges & replacement & repairs to damages & theft of property.
  • I will arrange supervision in accordance to the Health & Safety Act for all members in my party under the age of 18.  
  • I have read the terms stated above and agree to adhere to them
  • I understand I am liable for all damages or theft to equipment or the building during the hire period.
  • I understand I am responsible for the safety of all members in my group.
  • I allow the YMCA Masterton to seek all means possible against me to seek payment for all unpaid expenses occurred during or as a result of me hiring the premises.
  • Any untoward behaviour which the YMCA Masterton feels is in breech of the hirers contract or a safety issue to the building, equipment or members of the hirers party, the YMCA Masterton will end the hire period effective immediately at full cost to the hirer.
  • Y Central is committed to Child Protection and the Safeguarding of children and young people in our care and it is our expectation that all hirers will operate in a way that reflects this intent.
